FileSite: Emails on your Document Worklist

While using FileSite and the Email Management Toolbar, some users find it helpful to have the emails that they file show up in the document worklist.  This guide will explain how to enable the filed emails to be listed.  The pre-requisites are Outlook 2007/2010 with EMM (Email Management Module) and FileSite installed, a FileSite Server with the Communication Server running and properly configured.

If you have EMM installed, there is a server setting that must be enabled.  This setting allows you to link email folders to a filing folder in a workspace (see previous blog post).  What this means to the system, is that the emails are filed by the “administrator” user on behalf of the user.  Since they are filed by the administrator, they will show up on the administrator’s Document Worklist.

Step 1 – Ensure that ServerSide Filing is enabled:

On the WorkSite Server, open the registry and navigate to “HKEY_LOCAL_MACHINE\SOFTWARE\Interwoven\Worksite\imDmsSvc” and look for a DWORD titled “ServerSideFiling” and ensure it is set to “1″.  If this key does not esist, check with Autonomy support for the correct location for your version of WorkSite Server.

Step 2 – Ensure Emails will be added to the Document Worklist.

On the WorkSite Server, open the registry and navigate to “HKEY_LOCAL_MACHINE\Software\Interwoven\WorkSite\imDmsSvc” and create the following STRING value “Add Emails to Worklist” with a value of “Y”

Step 3 – Use Client-Side filing for emails

Now we need to tell the Outlook clients to file the emails, and not allow the server to do it on their behalf.  On the client machine, open the registry and navigate to “HKEY_LOCAL_MACHINE\SOFTWARE\Interwoven\Worksite\8.0\FileSite” and create the following DWORDvalue “AlwaysUseClientSideFiling” with a value of “1″

This will now tell Outlook to file messages either dragged into a workspace or profiled to a workspace to file client-side and not server-side.  Emails should now appear in your Document Worklist regardless of how you file them with the exception of linked folders.  Linked folders will still be filed by the server, and thus NOT show up on your Document Worklist, even with the previous settings.
